Directors’ Roles and Responsibilities

 

President

2 year term, starting in even-numbered years.

The President shall:

  • preside at all meetings of the Society and of the directors and act as the chief executive officer of the Society

  • supervise the other officers in the execution of their duties

  • approve or review all media or public correspondence sent out by WORCA

  • uphold the mission statement of the Society

  • assist other directors when necessary

  • help with fundraising for the Society

  • approve, oversee, and help maintain the budget set out by the Association

  • act as the front-line for media exposure for the Society

  • represent, responsibly, the objectives of WORCA and its mission and ensure that the Directors are also acting in the same manner

The role of the President, WORCA, is largely a high-level role focussed on ensuring the delivery of the purpose of WORCA.  The President is the key messenger to media, the Resort Municipality of Whistler, WORCA funders, and the general riding community in regard to WORCA's objectives, mission, values, and direction.  The President should be present at as many WORCA events as possible, should be an avid mountain biker in the community, and should make time to support other Directors at their key events and meetings to ensure continuity and support from all levels of WORCA.  

The President of WORCA is expected to be "on call" for queries and for support of Directors and the week-to-week role of the President is to be responsive to demands as they arrive and/or to help allocate scope to Directors and staff.  The President is a conduit to the Executive Director on the operations of WORCA.

The President should be passionate about WORCA, riding in Whistler, and being a liaison with our partners at SORCA and PORCA and other trail organizations that reach out for support and/or partnerships.


Vice President

2 year term, starting in odd-numbered years.

The Vice President shall: -

  • carry out the duties of the president during the President’s absence

  • help other directors to succeed in their roles

  • chair the Risk Management & Governance Committee

  • maintain the budget set out by the association

More specifically, as understudy to the President, the Vice President must also be prepared to: preside at all meetings; supervise other officers of the organization; act as the ‘CEO’.

The VP is a leadership role on the board. While there are many types of leadership, the VP is expected to create an environment in which board members are empowered and can succeed, in meetings and within their respective portfolios.

The Risk Management and Governance Committee meets monthly and systematically reviews WORCA policy requirements.

The time commitment for this position varies significantly over the course of the calendar year. Generally, one can expect to devote between 1-5 hours per week.


Treasurer

2 year term, starting in even-numbered years.

The Treasurer shall:

  • along with two other Board Members, have signing authority on the Society bank accounts

  • be responsible for ensuring that financial records are maintained in accordance with the Societies Act, in particular the financial requirements set out in Part 4 - Finance and Part 9 - Audit

  • review monthly financial statements and data provided by the Executive Director

  • approve, oversee, and help maintain the budget set out by the Association

  • assist other directors when necessary

  • help with fundraising for the Society


Secretary

2 year term, starting in odd-numbered years.

The Secretary shall:

  • record minutes for all board meetings

  • participate in the Risk Management & Governance Committee

  • help with fundraising for the Society

  • assist other directors when necessary


Trails

1 year term.

The Trails Director shall:

  • Plan and organize trail days/nights throughout the year

  • Maintain existing relationships with Whistler’s businesses, organizations and donors that support and sponsor trail days

  • Chair the Trails Committee

  • Keep the Board of Directors up to date on all trail related developments and challenges

  • Assist other directors when necessary


Community Events

1 year term.

Overview

The primary responsibility of the Community Events Director is to manage the weekly Toonie Rides.

Specific Responsibilities:

  • ensure that all rides conducted under the WORCA club insurance are:

    • conducted by a WORCA member in good standing

    • in accordance with the rules set out in the race manual 

    • concerned primarily with safety

    • in support of the WORCA mission statement and its objectives

    • in accordance with all requirements set out by the Resort Municipality of Whistler or any other governing body presiding over the event course site

  • oversee and provide guidance to the Events and Sponsorship Coordinator to create the Toonie season calendar

  • assist other directors when necessary


Special Events

1 year term.

  • ensure that all races/rides conducted under the WORCA club insurance are:

    • conducted by a WORCA member in good standing

    • in accordance with the rules set out in the race manual 

    • concerned primarily with safety

    • in support of the WORCA mission statement and its objectives

    • in accordance with all requirements set out by the Resort Municipality of Whistler or any other governing body presiding over the race course site

  • oversee the creation of a Special Events calendar

  • organize and coordinate any special race or event sanctioned by WORCA

  • assist other directors when necessary


Advocacy

1 year term.

The Director of Advocacy shall:

  • Help to achieve WORCA's strategic goal of increasing and diversifying membership and volunteers, growing to 2,000+ members

  • Advocate for greater equity, diversity and inclusion for trail use

  • provide input on all aspects of the organization

  • assist with WORCA related events and activities whenever possible

  • assist other directors when necessary
